Effective Date: March 15, 2026.
This Refund Policy (“Policy”) governs subscription payments made to [Your Company Name, LLC] (“Company”) for access to its AI Receptionist Services (“Services”).
This Policy applies to all Clients and forms part of the governing Service Agreement.
The Services are provided on a recurring subscription basis.
All subscription fees are billed in advance for each billing cycle (monthly unless otherwise agreed).
Except as expressly stated herein, all fees paid to Company are non-refundable, including but not limited to:
Monthly subscription fees
Setup or onboarding fees
Overage usage charges
Custom configuration fees
Client acknowledges that Services involve immediate allocation of infrastructure resources, AI processing capacity, telecommunications routing, and system configuration upon activation.
Company does not provide prorated refunds for partial billing periods if:
Client terminates mid-cycle
Client fails to use the Services
Client elects to suspend operations
Client experiences business downtime unrelated to the Company
Access remains available through the end of the paid billing period.
Client may cancel Services pursuant to the termination provisions in the Service Agreement.
Upon cancellation:
Future recurring charges will stop.
Previously paid fees remain non-refundable.
Temporary interruptions caused by:
Telecommunications providers
AI infrastructure providers
Internet service disruptions
Force majeure events
do not qualify for refunds.
Company will use commercially reasonable efforts to restore service.
If Client believes a billing error has occurred, Client must notify Company in writing within seven (7) days of the charge.
If an error is verified, Company will correct the billing discrepancy.
At its sole discretion, Company may issue partial credits in extraordinary circumstances.
Nothing in this section obligates Company to provide refunds outside the terms of this Policy.
Initiating a chargeback without first contacting Company to resolve a billing concern constitutes a material breach of the Service Agreement.
Company reserves the right to:
Suspend Services
Pursue recovery of disputed amounts
Recover administrative costs associated with chargebacks
Company reserves the right to update this Refund Policy at any time.
Continued use of Services constitutes acceptance of any updated terms.
